Matrix23 Terms & Conditions

Please contact us prior to the commencement of work if you have any questions about any of these terms and conditions.
- General
1.1 Before we start doing any work for you we will send you a written quotation by email. The quotation will detail all the work we agree to do. If there is something you want us to do that we have not detailed in the quotation please contact us before you pay your deposit so we can clarify if this has been included in the price. Any work that has not been detailed in the quotation will be subject to an additional fee.
1.2 All websites produced by Matrix23 include a link to our website at the bottom of the page.
1.3 Any work we do remains our property until such time as you have paid the full amount agreed in our quotation.
- Payment
2.1 An initial non-refundable deposit of 50% of the total cost of the work to be done is payable upon acceptance of our quotation, unless otherwise agreed.
2.2 By paying your deposit you confirm that you have read, understood and agree to these terms and conditions.
2.3 If you decide after you have paid your deposit that you no longer want us to do the work, we will not be obliged to return your deposit. Depending on the circumstances we may choose to do so, but we are in no way obliged to do so.
2.4 If we are building a website for you we will upload it to a test location such as www.test.matrix23media.co.uk. When we have something for you to look at we will send you a link to this test site and ask for your feedback. This is your opportunity to request alterations. Once we have finished the test site and you have approved the final changes, we will request payment of the remaining 50% before we upload the website to the live location, or in the case of Actinic websites, before we send you the final snapshot.
- Design
If we are building a website for you, once the overall design has been approved the remainder of the website will be built to the same design, unless otherwise agreed. After such approval has been received, only minor alterations to the design will be allowed. Any design changes requiring more than one hour of creative time will be liable to an additional design fee.
- WordPress
If we install WordPress for you it is your responsibility to backup your data. If we created the website template for your WordPress site then we will most likely have a copy of that, but we won’t have any backup of your blog posts, pages, login settings etc, all of which are contained in the database.
Most good web hosting companies provide a backup service and will have software that automatically backs up the entirety of your website including your database, but please don’t assume this to be the case – it’s a good idea to contact your hosting company to check this with them first.
You can create your own WordPress database backups by logging in to your WordPress admin area and going to Tools > Export, selecting ‘All content’ and then clicking Download Export File. If you do this regularly and keep the XML export file in a safe place it will be easier to restore your data in the event of data loss. It is good practice to create your own backups, regardless of the procedures your hosting company has for backups.
- Hacking
Matrix23 accepts no liability if your website gets hacked. If the security of your website is compromised and you need us to remedy the situation we will usually be able to help but please be aware that our time is chargeable in such circumstances.
- Updates
It is your responsibility to keep software up to date. If you are using WordPress and we have installed it for you, you will have the facility to update the software yourself from within the WordPress admin area. Alternatively we are happy to do WordPress software updates for you. WordPress software updates are not included in the cost of installation or template design and are therefore subject to an additional fee – please contact us for details.
We recommend that the WordPress software, any plugins and theme files are kept up to date to ensure your site is kept secure.
- SEO – Search Engine Optimisation
If we do any search engine optimisation for you please note that we are unable to guarantee specific rankings. For example we cannot guarantee that your website will show up on the first page of the search results. This is because there are too many factors outside of our control and too many variables. - Actinic Websites
If we build an Actinic website for you and you encounter problems with the website at a later date, please do contact us. If the cause of the problem is related to the work we did we will resolve the issue free of charge, however if the cause is not related to work we have done we may still be able to help but our time would be chargeable.
- Actinic Templates
If you purchase an Actinic Template from us we will provide support for any issues relating directly to the coding of the template. If you modify the template in any way we may not be able to provide such support.
Support can only be given for use of the template on one domain. When you place an order for a template we will ask you to specify the domain on which you intend to use the template. If you purchase a single-site license you are permitted to use the template on one domain only. If you purchase a multi-site license you may use the template on as many domains as you like, but we can only provide support for use of that template on one domain (the domain you specify when you place the order).
At the bottom of the template is a link to the Matrix23 website. This link may be removed for an additional fee of £15. If the link is removed without our agreement we reserve the right not to provide any technical support for that template.
Please note that resale of our Actinic templates is not permitted. You are welcome to use one of our templates on your own website but please do not sell it or give it to someone else to use on a different domain.
- Browser and Device Compatibility
All our websites and templates are tested on the most modern browsers including Internet Explorer, 7, 8 & 9, Firefox, Google Chrome and Safari. We test on PCs and Macs. Due to the large number of different browsers and browser versions we are unable to guarantee compatibility with all devices. Most websites will work fine with iPads and other tablet computers but we cannot guarantee that all websites and templates we build will display perfectly across all platforms and browsers.
If you need a website or template to be optimised for a particular device, browser or operating system please specify this before you pay your deposit.
- Delays
We always do our best to finish our work on time and keep to any agreed schedules. If we are working on a website for you and we need you to supply us with certain information, files, content or feedback on what we have done, we understand that this takes time. Delays can occur for many reasons and we fully understand when there are legitimate reasons for such delays.
If we need something from you in order to complete a project and you are delayed please let us know as soon as possible. If we are unable to complete a project because we have been waiting for more than 30 days for you to provide something we reserve the right to request the full balance of the project before any further work is carried out.
